It does not matter whether the Sachbearbeiter (official) speaks perfect English. German administrative law requires all foreign-language documents to be accompanied by a certified translation produced by a sworn translator.

UK documents: what German authorities specifically need
UK civil registry documents follow General Register Office (GRO) formats and are among the most straightforward to translate — clear print, standardised layout, full Latin script. However, there are some nuances worth knowing:
- Birth certificates: UK full birth certificates (long form) contain more information than short form and are generally preferred by German authorities. If you only have the short form, it is worth checking with the authority whether they require the full certificate.
- Marriage certificates: The standard UK marriage certificate (Form 35) is accepted by German authorities. Post-1837 GRO certificates are the standard format.
- ACRO Criminal Records Certificate: Required for German naturalisation. The Basic or Standard DBS is generally not sufficient — the ACRO Police Certificate (Overseas applicants) is the correct document for German citizenship applications.
- Death certificates: Required for inheritance proceedings at the Nachlassgericht or for survivor benefits applications.
US documents: state-level variation explained
Unlike the UK’s standardised GRO format, US civil documents vary significantly by state. A California birth certificate from 1990 looks entirely different from a Texas one from the same year — and both look different from a 2024 document.

- Apostille: The US is a Hague Convention member. Whether an apostille is needed on top of a certified translation depends on the German authority — the Standesamt usually requires it, the Ausländerbehörde usually does not.
